1. GENERAL INFORMATION
Vervet Adventures operates both as a Service Provider and as an intermediary/reseller, working with other Service Providers to offer their products and activities.
When you make a booking through Vervet Adventures, both these Terms and Conditions and the specific terms and conditions of the relevant Service Provider apply to your reservation. We strongly recommend reviewing these terms carefully, as Service Providers may have their own cancellation rules and limitations of liability.
Vervet Adventures is the product owner and operator of The HotSpot by Vervet Adventures (floating sauna) and stand-up paddleboard (SUP) rentals. Specific terms for these services are provided at the end of this document.
Vervet Adventures is responsible for forwarding your booking to the appropriate Service Provider and ensuring you receive all necessary information prior to your activity. In case of significant changes or cancellations, the Service Provider will inform both you and Vervet Adventures, and we will manage the cancellation or refund process accordingly.
2. VERVET ADVENTURES’ ROLE AS SERVICE PROVIDER AND AGENT
These Terms apply between Vervet Adventures and you as the customer when making bookings or creating an account through a booking channel operated by Vervet Adventures. Vervet Adventures operates in two capacities:
- As Service Provider – for services operated directly by Vervet Adventures (e.g., The HotSpot Sauna, SUP rental).
- As Intermediary/Reseller – for services provided by independent third-party Service Providers. In these cases, the contract for the actual delivery of the service is between you and the relevant Service Provider.
When Vervet Adventures acts as intermediary, we are responsible for handling bookings, payments, and communication between you and the Service Provider. The Service Provider is responsible for delivering the service, including safety, insurance, permits, equipment, and personnel.
When you place a booking on behalf of a group, you confirm that you are authorized to enter into the agreement on behalf of all participants and that you will ensure they are aware of these Terms and Conditions.
3. PRICES AND CURRENCY
All prices on the Booking Channel are stated in Norwegian kroner (NOK) and include applicable taxes (VAT). The total price displayed at the time of booking is the amount payable by the customer, unless otherwise specified.
Vervet Adventures reserves the right to correct any promotional or pricing errors displayed on the Booking Channel at any time. Vervet Adventures cannot be held liable for obvious errors or inaccuracies in price information that were, or should reasonably have been, apparent to the customer prior to completing the booking.
4. BOOKINGS, RESERVATIONS AND PAYMENT
When you make a booking through Vervet Adventures (the “Booking Channel”), you agree to provide accurate and complete information, including the names and details of all participants where applicable. By completing the booking and payment process, a binding agreement is established between you and Vervet Adventures (and, where applicable, between you and the relevant Service Provider).
A booking constitutes a binding offer to enter into an agreement. Once payment has been received and the booking accepted, Vervet Adventures will issue a booking confirmation to the email address you provided. This confirmation may also include relevant travel documents such as tickets or vouchers.
Upon receiving the confirmation, you are responsible for reviewing all details, including names, dates, and services booked. Any discrepancies must be reported to Vervet Adventures immediately, as later changes may not be possible.
If the booking information presented through the Booking Channel contains obvious errors or misprints that were, or should reasonably have been, apparent to you, the booking is not binding for Vervet Adventures.
You must be at least 18 years old to make a booking. If age restrictions apply to a specific service, you confirm that all participants meet these requirements.
4.1 PAYMENT TERMS
Payment is processed at the time of booking. Full payment must be received before the start of the booked service or activity. If payment cannot be completed, Vervet Adventures reserves the right to cancel the booking.
Vervet Adventures is responsible for the secure handling of payments and ensures that transactions are processed through encrypted, external payment platforms. Credit card details are never stored by Vervet Adventures.
Personal information such as name and contact details will be shared with the relevant Service Provider only when necessary to deliver the service and manage any changes or cancellations.
5. PROCESSING OF PERSONAL DATA AND YOUR RIGHTS
You may at any time withdraw your consent or request access to your personal data. Only authorized personnel with work-related responsibilities will have access to your information, and solely to manage agreements or handle inquiries.
Vervet Adventures ensures that your data is processed in accordance with applicable privacy laws, including GDPR. We employ technical and organizational safeguards to prevent unauthorized access, alteration, loss, or misuse of your data.
We collect personal data through Vipps and your user registration during the booking. This information is used only for the administration and fulfillment of your booking and is never shared with third parties. For more information, see our Privacy Policy.
6. CANCELLATIONS AND ALTERATIONS BY YOU
Requests for changes or cancellations must be submitted in writing by the person who made the booking to
booking@vervetadventures.no, and must include the booking reference and customer name.
Cancellations within seven (7) days of your scheduled activity must also be communicated directly to the Service Provider. Any change to a booking is treated as a cancellation followed by a new booking, and the relevant cancellation policy applies.
6.1 Cancellation Policy – Partner Service Providers (Groups of 14 people or fewer)
- More than 72 hours before start: full refund.
- 72 hours or less before start, or no-show: no refund.
Certain services (e.g., Fjellheisen Cable Car) are non-refundable. Tickets for such services are valid for the booked time slot and may be used within seven (7) days of that date. If delays occur on our side, tickets remain valid for the rest of the day. You can change the date and time via your mobile ticket.
6.2 Cancellation Policy – Partner Service Providers (Groups of 15 people or more)
- More than 30 days before start: full refund.
- 30–15 days before start: 50% refund.
- 14 days or less before start, or no-show: no refund.
Final group size adjustments (up to 3 participants) can be made up to 14 days prior to arrival. Reductions beyond this are considered cancellations and will be charged accordingly.
6.3 Cancellation Policy – The Green Adventure A handling fee applies to cover partner transactions and administration costs:
- Individual bookings: NOK 150 per person.
- Private tours (1–8 people): NOK 1200.
- Private tours (9–15 people): NOK 2400.
7. CANCELLATIONS AND ALTERATIONS BY VERVET ADVENTURES OR SERVICE PROVIDERS
Tours and activities may be changed or cancelled due to:
- Conditions beyond the Service Provider’s control (e.g., weather, technical issues, strikes, accidents).
- Failure to meet booking conditions (e.g., minimum participants or age limits).
- Misconduct, intoxication, or safety concerns involving any participant.
In such cases, no refund will be given for cancellations caused by participant misconduct.
For cancellations due to other reasons, Vervet Adventures will assist in rescheduling or issuing refunds.
8. REFUNDS
Vervet Adventures handles all refund processing. Refunds are normally issued within seven (7) working days after written confirmation of eligibility. Refunds are paid in Norwegian Kroner (NOK); exchange rate differences and bank transfer fees (especially for international transfers) are the customer’s responsibility.
Refunds are not provided when cancellation is due to misconduct, intoxication, or violation of terms.
9. INSURANCE AND CANCELLATION PROTECTION
All customers are strongly encouraged to obtain adequate travel, health, and cancellation insurance to protect against financial loss in case of illness, accident, or other unforeseen events.
Service Providers may deny participation if a guest is deemed unfit or poses a safety risk. No refund will be issued in such cases.
10. GUARANTEES AND NATURE-BASED ACTIVITIES
Vervet Adventures and its partners cannot guarantee natural phenomena or wildlife sightings such as northern lights or whales. These experiences depend on weather and environmental conditions. However, Service Providers will use their best effort and expertise to provide an enjoyable and authentic experience.
11. MEDICAL CONDITIONS AND FITNESS
It is your responsibility to ensure you are fit to participate in the booked activity. Please inform us of any medical condition or disability that may affect participation. If uncertain about your fitness level, contact us before booking or consult your doctor before participation.
Service Providers reserve the right to refuse participation to guests who are deemed unfit or unsafe to themselves or others.
12. OUR SERVICE PROVIDERS
Vervet Adventures ensures that Service Providers receive payment for the products you book through us.
Each Service Provider is responsible for:
- Compliance with applicable laws and regulations.
- Possessing required insurance, permits, and licenses.
- Providing suitable equipment, staff, and facilities.
- Setting appropriate age limits and pricing policies.
13. THE HOTSPOT BY VERVET ADVENTURES – FLOTING SAUNA
13.1 Scope
These provisions apply to bookings and memberships for The HotSpot by Vervet Adventures, operated by Vervet Adventures.
13.2 Sauna Sessions
Bookings grant time-limited access as confirmed in the booking.
13.3 Cancellation policy - Cancellations made more than 48 hours before session start are subject to a full refund.
- Cancellations made less than 48 hours prior, or no-shows, are non-refundable./li>
13.4 Memberships - Monthly with 6-month commitment, or
- Monthly without commitment.
Memberships renew automatically unless cancelled. Cancellations of memberships should be sent to
booking@vervetadventures.no.
Memberships cannot be paused, and those with commitment cannot be cancelled mid-term.
Fees are non-refundable except as required by law.
13.4 Sauna Rules
Use of the sauna is subject to the
Sauna Guidelines, which are also displayed at the facility.
All guests must read and comply with these rules. Non-compliance may result in removal or termination of membership without a refund.
13.5 Health and Liability
Use of the sauna is at your own risk. If you are uncertain whether sauna use is suitable for your health, consult your doctor before participation.
Vervet Adventures is not responsible for injuries, health issues, or theft unless caused by gross negligence. Guests should bring a padlock for secure storage of personal items.
13.6 Temporary Closures
The sauna facility may close temporarily due to maintenance, weather, or safety conditions. Customers may choose between rescheduling or a refund for the affected period.
For closures exceeding 30 days, members may request a proportional refund or membership extension.
14. STAND-UP PADDLEBOARD (SUP) RENTAL
The general Terms and Conditions apply to SUP rentals, in addition to the
SUP Rental Terms and Conditions .
15. COMPLAINTS AND DISPUTES
If you are not satisfied with a service provided by Vervet Adventures or one of our Service Providers, you must notify us as soon as possible by using the contact information listed below. Such notice must be submitted without undue delay and no later than 30 days after the date of the event giving rise to the complaint. If a complaint is not submitted within this time limit, Vervet Adventures cannot be held responsible, and you forfeit your right to any refund, price reduction, or other compensation.
For services provided by third-party Service Providers, the complaint should first be directed to the relevant provider. Vervet Adventures will assist you in forwarding and following up on the complaint but cannot be held liable for the actions or omissions of independent Service Providers.
Motion sickness or similar conditions during boat or car tours are not grounds for refund. Participants are encouraged to take preventive measures if necessary.
We aim to resolve all issues amicably and fairly. If a satisfactory solution cannot be reached, and you are a consumer, you may contact the Norwegian Consumer Authority (Forbrukertilsynet) at
www.forbrukertilsynet.no.
If you are a resident of another EU country, you may also submit your complaint via the EU Online Dispute Resolution (ODR) platform at
http://ec.europa.eu/odr.
Any disputes between Vervet Adventures and a customer acting in the course of trade (i.e., not a consumer) shall be finally settled by the ordinary courts of Norway, with the Nord-Troms District Court (Tromsø) as the agreed legal venue.
This agreement and any dispute arising out of it are governed by and interpreted in accordance with Norwegian law.
16. YOUR CONSENT
By participating in any activity, you confirm that participation is voluntary and undertaken at your own risk. You acknowledge that you have read, understood, and agreed to these Terms and Conditions on behalf of yourself and all participants in your booking.
